Overview

AI & Workflow Automation

MBICT helps businesses nationwide scope AI assistants and workflow automation around a specific operational problem. Possible starting points include answering questions from approved documents, preparing drafts for review and routing incoming requests. These are use cases to assess, not claims of completed client deployments. Discovery establishes data permissions, supported integrations, expected outputs and what the system must never do. Model and API charges, hosting, maintenance and evaluation work are confirmed separately in your quote. AI output can be wrong; important actions require defined oversight.

One clear starting point

Choose a repeatable task with an identifiable owner, rather than an unlimited AI remit.

Approved knowledge

Define which sources the assistant may use and how those sources stay current.

Human approval

Keep sensitive decisions and external actions behind appropriate review.

Testable outcomes

Evaluate ordinary requests, ambiguity, missing data and deliberate misuse before release.

Our Process

How We Deliver

A proven, transparent process from discovery to delivery.

01

Map the task

Document the current steps, exceptions, data owners and completion criteria.

02

Design boundaries

Agree access permissions, review gates, retention and failure handling.

03

Build a pilot

Implement the agreed workflow and test it with authorised sample data.

04

Evaluate and hand over

Review errors and running costs, then document operation and support responsibilities.

Buyer’s guide · Serving South Africa

Choose a useful AI pilot before automating an entire process

A good pilot has a repeatable input, an accountable process owner and a clear definition of acceptable output. If a simple rule or form can solve the problem, it may be more appropriate than generative AI.

Separate preparation from execution

An assistant that prepares a reply is different from a system authorised to send it. Define which actions require human approval, how uncertainty is displayed and when the task must return to a person. Important decisions should not depend on plausible-sounding output alone.

Budget for operation, not only the build

Consider API usage, hosting, permissions, integration maintenance and evaluation after information changes. Agree who updates approved source material and who can suspend a workflow if its behaviour becomes unreliable.

Test failure cases deliberately

Include missing information, conflicting instructions, outdated documents and unauthorised requests. Record failures and decide which are release blockers. A demonstration that answers one question correctly is not a business acceptance test.

What to include in your project brief

  • One workflow and its current manual steps
  • Approved data sources and access owners
  • Review gates and prohibited actions
  • Acceptance examples, failure cases and operating budget

AI & Workflow Automation: common questions

Must every automation use AI?

No. Deterministic rules and ordinary integrations are often a better fit for predictable tasks. Generative AI is useful when language interpretation or drafting is needed, with suitable review.

Can an AI assistant use private business documents?

A project can be scoped around authorised documents, but access controls, permitted use, retention and provider terms must be agreed first. Do not submit sensitive documents through a public enquiry form.

Are model and hosting costs included?

The published AI packages are indicative project allowances. Model/API usage, messaging and hosting are separate unless the written quotation explicitly includes them.
